The SSAS administration workflow

Follow the workflow in sequence when setting up and administering a scheme. Individual tasks can also be used as quick-reference guides.

01 — Scheme Setup

Create the scheme, members, employers, advisers, accountants and bank accounts.

Import bank activity and allocate contributions and pension transfers.

01SCHEME SETUP

Create a New SSAS

Create a new SSAS scheme in the software.

How to Create a Scheme

From the left-hand sidebar, click Schemes.

Click Create Scheme.

Complete the Create Scheme form and enter the applicable scheme information in each section.

Click Save Scheme at the bottom of the form.

Confirm that the scheme has been created successfully.

Add Members

Create a new member and add them to an existing SSAS scheme.

How to Add a Member

Open the required scheme.

Click + Participants.

Select Member.

Complete the Create Member form.

Click Save Member at the bottom of the form.

Confirm that the member has been added successfully.

Add Employers & Directors

Add an employer to the required SSAS scheme and maintain the employer relationship used for scheme administration.

How to Add an Employer

Add Financial Adviser

Add a financial adviser to the required SSAS scheme by selecting an existing adviser or creating a new adviser record.

Existing Financial Adviser

  1. Search for the financial adviser by name.
  2. Select the required adviser from the list.
  3. Click Save.

Add New Financial Adviser

General Information

Field Description
Contact Select the contact for the financial adviser. Required.
Company Name Enter the financial adviser's company name.
Company Address Enter the financial adviser's company address.
Is Trustee Select whether the financial adviser is a trustee.

After completing the details, click Add Financial Adviser.

Save the Financial Adviser

After selecting an existing adviser or adding a new adviser, verify that the financial adviser is associated with the required scheme.

06 SCHEME SETUP

Add Accountants

Add an accountant to the required SSAS scheme by selecting an existing accountant or creating a new accountant record.

  1. Use Search Accountant by Name to find the required accountant.
  2. Select the accountant using the checkbox.
  3. Click Save.

Add New Accountant

Accountant Details

Field Description

After completing the details, click Add Accountant.

After selecting an existing accountant or adding a new accountant, ensure the accountant is related to the required scheme.

07SCHEME SETUP

Add Scheme Bank Account

Create a Bank Account investment for the SSAS scheme and allocate it to the relevant members.

How to Add a Bank Account

Click Investments in the scheme navigation.

The Choose Member screen displays the members available within the scheme.

08 BANK FEED

Import Bank Feed

Import bank transactions into the system using a CSV file.

How to Import Bank Feed

  1. Click Bank Feed in the main menu.
  2. Click Choose File.
  3. Select the bank feed CSV file.
  4. Ensure the CSV file follows the required format.
  5. Click Import.
  6. The bank feed transactions are imported into the system.

CSV File Format

The bank feed CSV file must contain the following columns:

After selecting the CSV file, click Import. The system imports the transactions from the CSV file as bank feed records.

09 CONTRIBUTIONS & TRANSFERS

Allocate Transactions as Contributions

Allocate an imported bank transaction to the correct member and contribution type.

Purpose

Convert an imported bank transaction into a properly classified member contribution.

When to use

Use this after identifying a bank transaction as a contribution.

How to complete this task

1

Open the unallocated bank transaction.

Select the member receiving the contribution.

3

Select the appropriate contribution type.

Enter or confirm the contribution amount.

Review the allocation and resulting member and scheme balances.

Set Up Property Investment

Create a property investment record and establish its initial investment information.

Purpose

Create the investment record that will hold property purchase, expenses, income, valuation and allocation information.

When to use

Complete this before allocating property-related bank transactions.

How to complete this task

Open the Investments area for the scheme.

Import Bank Feed — Property Transactions

Import property investment-out transactions, rental income and other property-related bank activity.

Purpose

Bring property-related cash movements into the system for classification and allocation.

When to use

Use this when the property bank activity is available in the bank feed.

How to complete this task

Import or synchronise the relevant bank transactions.

Review transaction descriptions and amounts.

14 LOAN INVESTMENT

Create a Loan Investment

Create a loan investment, record how it was acquired and allocate it to the relevant scheme members.

Purpose

Create and configure a loan investment held by the SSAS and allocate the investment to members.

Acquisition methods

A loan can be acquired through Cash Purchase, Transfer In Specie, Take Over, or Death Benefit Allocation.

How to Create a Loan Investment

Open the required scheme.

Click + Investment.

Select Loans to Businesses.

Click Next.

Select the applicable option in How is the Investment Being Acquired?.

Complete the Application Form.

Click Next to open the Members List.

Select the relevant members and complete the allocation information applicable to the acquisition method.

Review the allocation and click Save.

On the Create Investment screen, select Loans to Businesses. Click Next to continue to the application form.

In How is the Investment Being Acquired?, select the method used to acquire the loan.

Cash Purchase

Use when the loan is acquired through cash.

Transfer In Specie

Use when the loan is acquired through a transfer in specie.

Take Over

Use when the loan is acquired through a takeover.

Use when the loan is acquired through death benefit allocation.

Step 3 — Members List

The information required in the Members List depends on how the loan was acquired.

Cash Purchase

For a cash purchase, select the relevant members and their scheme bank accounts.

  1. Select the checkbox for each relevant member.
  2. Select the appropriate Scheme Bank Account.
  3. Review the selected members and bank accounts.

Transfer In Specie, Take Over and Death Benefit Allocation

For these acquisition methods, the Members List includes additional allocation fields.

Crystallised Value (£)Value allocated to the member's crystallised funds.
Uncrystallised Value (£)Value allocated to the member's uncrystallised funds.

  1. Select the checkbox for each relevant member.
  2. Select the appropriate Scheme Bank Account.
  3. Enter the applicable Crystallised Value (£).
  4. Enter the applicable Uncrystallised Value (£).
  5. Review the calculated Total (£) for each member.
  6. Review the overall Allocation Amount.
  7. Click Save.
Administrator Check

Before saving, verify the selected members, scheme bank accounts and allocation values. For non-cash acquisitions, check the Crystallised Value (£), Uncrystallised Value (£), member Total (£) and overall Allocation Amount.

15 LOAN INVESTMENT

Import Loan Repayments

Import the repayment schedule for an existing loan investment using a CSV file.

Purpose

Import loan repayment information so the system can track repayments and calculate the outstanding balance.

File format

The repayment information must be provided in a CSV file.

How to Import Loan Repayments

Open the required scheme.

Click Investments.

Review the investments associated with the scheme.

Click the required Loan Investment.

On the Loan Overview screen, click Repayments.

Click Import.

Select the repayment CSV file.

Click Import.

CSV File Format

The repayment CSV file must contain the following columns:

payment_date Date on which the repayment is scheduled or made.
interest_amount Interest amount for the repayment.
principal_amount Principal amount for the repayment.
payment_status Status of the repayment.

Payment Status

Payment Status Description
Paid The repayment has been paid.
Yet to Come The repayment is scheduled but has not yet been paid.
Partially Paid The repayment has been partially paid.

Import Validation

The sum of all principal_amount values in the repayment CSV must equal the Loan Amount. The system allows the repayment CSV to be imported only when the total principal amount matches the loan amount.

Outstanding Balance

After the repayment CSV is imported, the system automatically calculates and updates the Outstanding Balance based on the imported repayment information.

17 PENSION BENEFITS

Crystallise Funds

Record a member's crystallisation event and establish the crystallised pension value.

Purpose

Record the movement of pension funds from uncrystallised status into crystallised pension benefits.

When to use

Use this when a member is taking benefits and the required crystallisation checks have been completed.

How to complete this task

1

Open the member's pension or crystallisation area.

2

Review available uncrystallised funds.

3

Enter the requested crystallisation amount.

4

Review the calculated crystallisation value.

5

Confirm that the available investment and fund values support the crystallisation.

6

Save the crystallisation event.

Review before saving

The requested amount should be checked against available uncrystallised cash and the member's available uncrystallised investment value before confirming the event.

18 PENSION BENEFITS

Allocate PCLS Transactions

Allocate the tax-free lump sum transaction to the member following crystallisation.

Purpose

Link the PCLS payment to the correct member and benefit event.

When to use

Use this when the PCLS transaction appears in the bank feed and the member's crystallisation has been recorded.

How to complete this task

1

Open the relevant unallocated bank transaction.

2

Select the member.

3

Select the PCLS transaction type.

4

Link the transaction to the relevant benefit event where applicable.

5

Confirm the amount.

6

Save and review the member balance.

Allocate Pension Payment Transactions

Allocate pension payment transactions to the correct member and pension benefit.

Purpose

Record pension payments against the member and prepare the transaction for payroll and PAYE processing where applicable.

When to use

Use this when pension payment transactions are available in the bank feed.

How to complete this task

Open the pension payment transaction.

Select the member receiving the payment.

Allocate Rental & Loan Repayments After Crystallisation

Process investment income and loan repayments received after a member's funds have been crystallised.

Purpose

Ensure post-crystallisation investment income and repayments are allocated to the correct investment and member pension status.

When to use

Use this when property rental income or loan repayments are received after crystallisation.

How to complete this task

1

Identify the post-crystallisation bank transaction.

Determine whether it relates to property rental income or a loan repayment.

Select the relevant investment.

Review the member's crystallisation status and allocation.

5

Allocate the transaction according to the applicable scheme and investment rules.

Payroll & PAYE

Create pension payroll, calculate PAYE and review the payroll result before saving.

Purpose

Calculate and record the taxable pension payment, PAYE deduction and net payment.

When to use

Use this when a pension payment requires payroll and PAYE treatment.

How to complete this task

Open the Payroll module.

Select the member and relevant payment.

Review YTD taxable pay and YTD tax figures.

HMRC RTI Submissions

Prepare, validate and submit Full Payment Submission information to HMRC.

Purpose

Submit payroll information to HMRC and track the submission response.

When to use

Use this after payroll has been calculated, reviewed and saved.

How to complete this task
